  • through service providers or platforms used by us to operate our activities, where appropriate.

If you make a booking on behalf of another person, you should ensure that you have their permission to provide their personal data to us and that they are made aware of this Privacy Policy where appropriate.

3. How We Use Personal Data#

We may use personal data to:

  • process and administer bookings and registrations;

We do not use consent to receive marketing as a condition of receiving booking or service communications that are reasonably necessary to provide something you have requested from us.

4. Payments and Payment Evidence#

Where we ask you to provide payment evidence, such as a receipt or transfer confirmation, that information is used to verify and administer your payment and booking.

Payment evidence may contain personal or financial information. We treat submitted payment evidence as private administrative information and do not publish it as event content.

Access to payment evidence is limited to persons and systems that reasonably require access for payment verification, administration, accounting, fraud prevention or legal purposes.

Please avoid including unnecessary personal or financial information when submitting payment evidence.

5. Photographs and Event Media#

Club Events may occasionally be photographed or recorded for event documentation, community updates or promotional purposes.

Where photography or recording is planned, we may provide notice during registration, at the venue or through other reasonable means.

If you reasonably wish to avoid being identifiable in promotional photography or video, please let a Club staff member know. Where operationally feasible, we will take reasonable steps to accommodate that preference.

Where an identifiable portrait, testimonial or similar material is intended for substantial promotional use, we may seek separate consent where appropriate.

Additional conditions may apply to events that are livestreamed or substantially recorded.

6. Marketing Communications#

We may send you marketing or Club updates where you have agreed to receive them or where otherwise permitted by applicable law.

You may withdraw your marketing consent or unsubscribe at any time using an available unsubscribe method or by contacting us.

Withdrawing from marketing communications will not prevent us from sending communications reasonably necessary to administer an existing booking, registration, enquiry or other service you have requested.

7. Data Sharing and Service Providers#

We may also disclose personal data where required or permitted by applicable law, or where reasonably necessary to protect the rights, safety or security of the Club, our participants or others.

Some third-party platforms may process personal data under their own terms and privacy practices.

Where we use a service provider to process personal data on our behalf, we take reasonable steps appropriate to the nature of the service and data involved to protect that information.

8. Analytics and Website Data#

This may include information such as:

  • pages viewed;
  • referring pages or websites;
  • campaign or UTM information;
  • approximate technical or device information;
  • browser information; and
  • interactions with website features.

9. Data Security#

We take reasonable technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure, alteration or destruction.

Access to personal data is limited according to operational need where reasonably practicable.

However, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

If you believe personal data provided to 160 Tiles Club may have been compromised, please contact us promptly.

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including providing our services, maintaining appropriate business and transaction records, resolving disputes, preventing fraud and complying with applicable legal obligations.

Different categories of information may therefore be retained for different periods.

When personal data is no longer reasonably required, we will take reasonable steps to delete, destroy or anonymise it, subject to any applicable legal, accounting or record-keeping requirements.

We take reasonable steps to keep personal data accurate, complete and up to date where necessary for the purposes for which it is used.

You may contact us if you believe information we hold about you is inaccurate or requires correction.

  • ask questions about how your personal data is collected, used, disclosed or retained; or
  • make another request concerning your personal data that is available to you under applicable law.

Some requests may be subject to legal exceptions or record-retention requirements.

Withdrawing consent does not necessarily require us to delete information that we are required or permitted to retain for another lawful purpose.

13. Third-Party Links and Services#

Our website or communications may contain links to websites or services operated by third parties.

Their handling of personal data is governed by their own privacy policies and practices. We encourage you to review those policies when using third-party services.
